Terms & Conditions of Booking

UK Organist Limited · Company number 16955057 · Director: James (Jay) Berry

1. Definitions

  • "The Company": UK Organist Limited.
  • "The Organist": James (Jay) Berry (or a Company-approved deputy).
  • "The Client": the individual, couple or organisation booking the service.
  • "The Event": the specific wedding, funeral, service or concert defined in the booking.

2. Booking and confirmation

  • Indicative pricing: all website quotes are indicative. A final fee will be confirmed in writing based on the repertoire, complexity and duration of the Event.
  • Formal confirmation: a booking is "Confirmed" only when the Company issues a written confirmation notice following agreement of the final fee.

3. Fees and payment

  • Weddings and concerts: a non-refundable deposit may be required to secure the date. The remaining balance is due 7 days before the Event.
  • Funerals and short-notice bookings: full payment is required before the service date, or before the service begins on the day.
  • Method: payment may be made by bank transfer (BACS), by secure online card payment, or in person by card. Payment details and links are provided on your invoice.

4. Cancellation policy

  • Weddings and planned events: cancellations by the Client within 14 days of the Event are charged at 50% of the total fee. Cancellations within 48 hours are charged at 100% of the fee.
  • Funerals: there is currently no cancellation fee for funeral services. We simply ask for as much notice as possible.
  • Company cancellation: if the Organist cannot attend (for example, through illness), the Company will try to secure a competent deputy. If unsuccessful, a 100% refund will be issued. The Company's liability is limited to the total fee paid.

5. Musical requirements and rehearsals

  • Weddings: music and hymn choices must be confirmed 14 days before the service.
  • Funerals: music should be confirmed at the time of booking, or no later than 48 hours before the service.
  • Rehearsals: the standard fee covers the performance at the service. Attendance at rehearsals (with choirs, soloists or instrumentalists) is charged at £80 per hour or part hour, agreed and invoiced in advance.

6. Recording fees (performance rights)

In line with UK performance rights, if a wedding or concert is professionally filmed or live-streamed, a video recording fee applies (standard rate: 50% of the performance fee). The Client must disclose if a recording is taking place.

7. Instrument and access

  • The Client is responsible for making sure the venue's organ is in a playable, tuned condition.
  • The Organist needs access to the console 45 minutes before the service to prepare. If the instrument is unplayable or unsafe on arrival, the full fee remains payable.

8. Availability

The Organist has a high degree of midweek flexibility, but is unavailable for Sunday morning bookings because of a permanent residency at St John the Evangelist, Worsthorne.

9. Governing law

This agreement, and any dispute or claim arising out of or in connection with it, is governed by and construed in accordance with the laws of England and Wales.
